ROLE DESCRIPTION:

Are you an experienced corporate travel professional who thrives on solving complex travel and expense challenges? Victra is seeking a Travel & Expense Administrator to support a high-volume corporate travel and expense program across our nationwide operations. In this role, you will combine advanced Sabre GDS expertise with hands-on corporate card and expense-platform experience to deliver accurate, responsive support to employees.

You will manage travel arrangements, resolve ticketing and traveler-profile issues, and support expense administration and corporate card processes. The ideal candidate brings at least 10 years of hands-on corporate travel experience, strong technical skills, and the ability to troubleshoot independently while providing exceptional service.

KEY RESPONSIBILITIES:

As the Travel & Expense Administrator, you will work within a corporate culture where Performance, Integrity, Collaboration, Innovation, and Celebration are the mantras of success. In this role, you will:

Travel & Expense Operations

  • Research, book, and manage domestic air, hotel, and rental car reservations in accordance with company travel policies and budget requirements.
  • Review bookings for compliance with company travel policies and budget requirements.
  • Create and maintain accurate traveler profiles within the online booking tool.
  • Manage itinerary changes, cancellations, rebookings, and emergency travel support.
  • Support employee offboarding by coordinating timely closure of travel and expense reports and accounts.
  • Provide administrative support for travel requests, research and resolve incomplete or conflicting requests, and coordinate direct billing with designated vendors.
  • Troubleshoot employee card, expense, receipt, transaction, coding, reimbursement, and system-access issues.
  • Support user provisioning and deprovisioning, employee profiles, card administration, expense workflows, and approvals.

Policy Compliance, Education & Documentation

  • Apply Victra’s corporate travel policy consistently and flag exceptions for manager review and approval.
  • Communicate with employees and leaders to confirm travel preferences, answer questions, and resolve issues.
  • Maintain accurate traveler records and trip documentation in the travel management system.
  • Educate travelers on travel policies, approval processes, and preferred vendors.
  • Provide employees with guidance and resources on travel and expense systems, tools, and policies.

Customer Service & Team Support

  • Respond to employee inquiries with timely, accurate, and customer-friendly resolutions.
  • Deliver white-glove traveler support with professionalism, clarity, and responsiveness.
  • Troubleshoot travel issues and escalate when needed to support a smooth traveler experience.
  • Partner with team members to manage high-volume travel periods and priority bookings.

Collaboration & Process Improvement

  • Support process improvement initiatives led by the Corporate Travel & Expense Manager.
  • Assist with ad hoc projects and cross-functional requests as business needs evolve.
  • Collaborate with the Corporate Travel & Expense Manager and other travel agents to share updates, best practices, and service improvements.
  • Stay current on travel trends, tools, and procedures that improve efficiency and traveler satisfaction.
  • Collect traveler feedback and recommend enhancements to the travel program.

WHAT WE ARE LOOKING FOR:

Experience & Technical Expertise

  • Minimum of 10 years of hands-on corporate travel experience managing air, hotel, rental car, and rail arrangements, including exchanges, cancellations, schedule changes, and traveler disruptions; experience within a Travel Management Company (TMC) or high-volume corporate travel environment is preferred.
  • Experience supporting a high-volume corporate travel program and managing multiple traveler profiles simultaneously.
  • Advanced Sabre GDS expertise, including extensive experience creating, modifying, exchanging, reissuing, and canceling airline reservations directly in Sabre within a high-volume corporate or TMC environment.
  • Strong knowledge of PNRs, fare rules, ticketing, exchanges, refunds, seat assignments, queues, profiles, remarks, SSRs/OSIs, and schedule changes.
  • Ability to independently troubleshoot complex reservations, ticketing, and traveler-profile issues.
  • Hands-on experience administering a corporate card and/or expense-management platform is required.
  • Experience with Ramp Expense or a comparable enterprise expense platform is strongly preferred.
  • Ability to investigate system and transaction issues and determine when to escalate to the platform provider, TMC, card issuer, or internal technology team.

Skills & Competencies

  • Strong systems aptitude and the ability to quickly learn and adapt to new platforms, tools, and technology-enabled processes.
  • Exceptional attention to detail, organization, and follow-through.
  • Strong verbal and written communication skills.
  • Ability to manage multiple priorities in a high-volume, deadline-driven environment.
  • A service-focused mindset and a calm, solution-oriented approach to challenges.
  • Understanding travel logistics and pricing structures, supported by the fare-rule expertise described above.

Working Conditions

  • This is a remote role supporting western time zones, with working hours of 12 p.m.–9 p.m. EST, Monday through Friday.
