Events Promotional Materials Coordinator

We are seeking an Events and Promotional Materials Coordinator with exceptional attention to detail, organizational and communications skills. The candidate must be a strategic thinker, working well under pressure and meeting or exceeding deadlines within a fast-paced environment. The individual will collaborate between external vendors and internal stakeholders to complete tasks and projects quickly, efficiently, and ahead of deadlines. In partnership with our events manager and events specialist, you will play a key part in supporting the communications team and developing events and projects to drive the Victra culture and brand. Your Focus / Responsibilities:
This role is integral to the support and coordination of internal events and the promotional materials program. Exceptional attention to detail, flexibility, and positivity are key factors in the success of the position and integration into the communication teams. Your organizational and communications skills will also be fundamental to the success of each project. You approach each task with a solutions-oriented mindset and strive for efficiency.
* Support sales, executive, and field events with venue and vendor sourcing, administration of necessary documents, and communication between internal and external teams.
* Leverage strong written and communications skills to assist with communications and events administrative work (meeting scheduling, drafting internal communications, light content creation)
* Work closely with various areas of the organization including sales, marketing, legal, human resources, IT, and other internal departments in the production and scheduling of events
* Manage interdepartmental requests for promotional materials and fulfill orders as needed
* Own communication between internal project stakeholders and external vendors while providing pertinent updates to events specialist and events manager
* Manage marketing merchandising tickets, product websites, and internal request forms
Education/ Experience Requirements:
The Events & Promotional Materials Coordinator should be innovative, organized, and self-motivated with an interest in driving efficiency for project stakeholders. Written and verbal communication skills are also important. Experience in project management or administrative work is a plus.
This role also requires a foundational understanding of company policy and procedure, along with:
* 2-3 years events/marketing/project management or similar field
* Bachelor’s degree in Events, Marketing, or Project Management is preferred.
* Strong analytic skills to manage processes, make recommendations, present solutions, and adjust strategies.
* Team player that can roll up sleeves and happily pitch in on other tasks
* Enthusiastic about cross-departmental collaboration and learning more about the business
* Solution-oriented with an out-of-the box approach to each project.
* Have superior communication and time management skills to meet hard deadlines.
* Ability to adapt projects quickly and remain flexible while working under pressure
* Ability to develop and maintain relationships with external vendors in addition to internal stakeholders
* Systems Needed: Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook),

Compensation: $53,913 - $58,618 per year
Location Requirement:
This position requires the candidate to reside in Raleigh, NC. The role is primarily in-office, with a hybrid schedule that includes some remote work. Candidates must be able to work from our Raleigh office most of the time.
